Administrative Assistant

Reports to: C.O.O / VP of Design
Objective: Perform administrative and clerical duties day to day

Responsibilities

  1. Receive all incoming phone calls. Provide callers with information and/or route calls to appropriate personnel.
  2. Conduct tours of the office to new hires.
  3. Receive general emails – Reply with information or reroute emails to the appropriate person.
  4. Type correspondences, envelopes, and memos.
  5. Maintain a professional appearance of office and reception area. Greet customers and other visitors.
  6. Prepare conference room prior to meetings
  7. Help maintain filing systems.
  8. Review mail as it comes in to distribute to appropriate employees
  9. Help assemble backup material for audits.
  10. Administer customer satisfaction surveys.
  11. Obtain signatures for accounts payable and disburse checks.

Requirements

  1. Minimum work week to consist of Monday-Friday.
    • Normal hours 7:30 AM – 4:30 PM
  2. Be tentative via phone on vacation in case of an emergency.
  3. Attend weekly meetings as needed. If a meeting cannot be made a 24 hour notice will be needed.
  4. Have keen computer skills in Excel, Word, PDF
  5. Motivation and eagerness to implement and maintain processes for a growing business
